Accounting Coordinator

Harvard Square's landmark independent bookstore is looking for an experienced accounting professional for the position of Accounting Coordinator.
This is a full-time position (flexible schedule, 32 to 40 hrs/week, Monday through Friday) and requires the employee to be on-site (not remote) at our administrative office near Harvard Square in Cambridge, MA.

Job Responsibilities
*Accounts payable duties:

  1. Process vendor invoices and payments. Monitor discount opportunities. Maintain vendor relationships.
  2. Review monthly vendor statements for accuracy and resolving discrepancies with vendors. Maintain vendor accounting files, and verifying federal id numbers.
  3. Track and process inventory overstock return and damage claim paperwork. Ensure overstock and damage claim credits are received, and follow up with vendors as needed.

*Daily cash duties:

  1. Reconcile daily sales cash receipts to sales reports, prepare bank deposits. Act as point-of-contact to provide store location with cash requirements. Weekly deposit dropoff and change order pickup.
  2. Maintain office and store cash reserves. Work with Event Director for events cash requirements; work with Warehouse Manager to provide cash requirements for in-person warehouse sales.

*Other duties:

  1. Update daily, weekly and monthly sales and management reports.
  2. Process payroll using ADP Run or similar software when required.
  3. Follow up with customers on past due invoices.
  4. Maintain credit card receipts and files for corporate cards, match receipts to monthly statements, and follow up with card holders for receipts.
  5. Assist Controller with the development and maintenance of accounting procedures and improvement of accounting processes.
  6. Frequently move file boxes weighing up to 40 lbs. across the office for various needs.
  7. Additional duties to be determined.

Minimum Requirements and Qualifications

  • Relevant education and/or experience in accounting and/or accounts payable.
  • Familiarity with MBA Software or similar accounting software package.
  • Prior payroll processing experience preferred.
  • Proficiency with MS Office including Word and Excel, and basic math skills.
  • Attention to detail with the ability to work efficiently on assigned tasks with little to no assistance

Starting wage is $21.50 per hour. Weekend pay is 1.25 times that rate. This position is unionized as part of the International Union, United Automobile, Aerospace and Agricultural Implement Workers of America (UAW), Local 1596.
